The service

Paperota (the "Service") is an app to organise and scan documents, for individuals, families and companies, and remind you of their expiry dates, run by its owner (contact: info@paperota.com). By using the Service or creating an account you accept these Terms and the Privacy Policy. These Terms apply from 30 October 2026.

Your account

• You must be 18 or older, give correct details and keep your password secret.
• You are responsible for all activity on your account and for the roles you give family members, your team or your employees.
• The account owner (creator) manages the subscription, invitations and deletion.

Trial and subscription

• The first 14 days are free with no card, within the family plan limits for families, and for companies up to 50 employees and 2 logins that can edit. After that you need a paid subscription; nothing is charged automatically when the trial ends. The price that applies is the one shown at subscription time, tax included as shown at checkout. Current prices:
  • Family: USD 3 a month or USD 30 a year, on the website or in the app. Includes 2 logins that can edit, any number of view-only logins, up to 10 people and 1 GB of storage.
  • Company: USD 29 a month including 50 current employees, 5 team logins and 5 GB of storage. Each employee can have a free login to their own papers, not counted as a team login. Every 50 more employees (a pack) cost USD 14 a month, with 5 more team logins and 5 GB more, up to 500 employees. For more, write to info@paperota.com. The company plan is sold on the website only.
  • Yearly: the price of 10 months.
• Limits: an existing account above these limits keeps what it has, and you cannot add more until you subscribe or increase the plan.
• Employee packs: if you add a pack during a period, it is charged now for the rest of the current period only (pro rata). If you remove a pack, the reduction starts from the next period. Employees who have left and team logins do not count.
• Currency: prices shown in your local currency are approximate and for guidance only. You are charged in US dollars; your bank converts the amount and it may differ a little.
• Payment and invoicing are handled by Paddle as merchant of record, and its terms apply.
• If you subscribe in the iPhone or Android app, payment, renewal and cancellation are handled by the App Store or Google Play and their terms apply; you can cancel in your store account’s subscription settings.
• The subscription renews automatically every period (month or year, as you chose) until you cancel. You can cancel any time and it stays active until the end of the paid period.
• If the trial or subscription ends: the account becomes view-and-export only. If a payment fails, this happens after 7 days of grace. We delete data for good 60 days after it ends, after warning you 30 and 7 days before (see the Privacy Policy). Export your data before then.
• We may change prices for future periods after giving you notice.
• Refunds follow the Refund Policy.

The family plan

The family plan is for one household. It may not be used for several households, or for a business or its employees; businesses use the company plan.

Other people’s papers

When you add data or papers of family members or anyone else, you confirm that you have the right to do so (as a guardian or with the person’s consent), and you are responsible for adding them.

Company accounts

• If you use Paperota for a business, you confirm that you may lawfully keep the data and papers of your employees and others you add, that you have told them and got their consent where needed, and that you use them only for lawful purposes.
• The company is responsible for the roles and rights it gives, for opening employee logins, and for deleting the data of people who left when the law requires.
• The vehicles, expenses, petty cash and HR sections are organising tools only, not accounting or tax or legal advice. The company is responsible for its records and for approvals made in them.
• Messages: they may not be used for advertising, unwanted or unlawful messages. There are daily sending limits and we may stop sending in case of abuse. The sender alone is responsible for the content.
• When a company’s subscription ends or its account is deleted, the retention and deletion rules in the Privacy Policy apply, and it should export its data before then.

Accuracy of reading, conversion and AI

Reading text, recognising a paper and its owner, conversion to Word, Excel and others, translation and exchange rates are automatic helper tools and we do not guarantee their accuracy. Their results may be wrong or incomplete, and you must check every detail (especially numbers and dates) before you save or use them.

AI reading

AI reading is optional and off by default. The account owner or company admin turns it on and is responsible for that decision for the account. Only send files you have the right to send. Each account has a monthly fair-use allowance that renews each month. When it runs out, AI reading stops until it renews, and the rest of the Service keeps working. We may change the allowance or the AI model we use, or pause the feature for a time. What is sent and to whom is explained in the Privacy Policy.

Share links and My card

You are responsible for what you share by link and publish on your card. Do not publish or share data or identity papers of others without their permission. Someone who opens a link may save a copy, and we are not responsible for what the receiver does with it. Links and cards keep working after a plan ends, until their own end time or until the data is deleted. You can close a link, or pause or delete a card, at any time, even after a plan ends. We may stop any link or card that breaks the law or these Terms.

Acceptable use

Not allowed: using the Service for anything unlawful, uploading content you have no right to or that belongs to someone without authority, trying to hack or disrupt the Service or reach another account’s data, excessive automated use, or uploading malware. We may suspend accounts that break these rules.

Your content

Your files and data remain yours. You give us only a limited licence to store, process and display them to you, to the people you give access to (your family or your team) and to those you share with, in order to run the Service.

Ownership of the Service

The app, the website, their design and logo and the name Paperota are ours. You may not copy them, take the software apart, try to extract its source code, or resell the Service, except as the law expressly allows.

Third-party services

Some features depend on services of others, such as the stores, payments, email, AI, exchange rates and calendar services. These services follow their own terms, and we are not responsible for their failures or changes.

Disclaimer and limitation of liability

The Service is provided "as is" without warranties of any kind to the extent the law permits. To the extent permitted by law, we are not liable for direct losses caused by delays, indirect or consequential damages, lost profits or lost data arising from use of or inability to use the Service or from a reminder that did not arrive, and our total liability for any claim is limited to what you actually paid us in the previous 12 months. This does not exclude liability that cannot be excluded by law.

Force majeure

We are not responsible for any delay or outage caused by circumstances beyond our reasonable control, such as disasters, internet or power failures, failures of service providers, or decisions of authorities.

Termination

You may stop using the Service and delete your account at any time; the account closes at once and the data stays for 60 days, during which it can be restored, then it is deleted for good. We may suspend or end an account for a serious breach of these Terms or to protect the Service; we will tell you and you may export your data unless the law prevents it.

Governing law

These Terms are governed by the laws of the United Arab Emirates and the competent courts of the United Arab Emirates have jurisdiction, without affecting any consumer rights that cannot be waived.

Changes and contact

We may update these Terms and will tell you about material changes before they apply. Continuing to use the Service means you accept them. Contact: info@paperota.com.
